Importing CSV data into your account

The most common use cases for the import feature are when you need to import large amounts of data to populate flexible assets, or to go live with IT Glue without a PSA.

Prerequisites

  • To import data, you must have an Administrator role, or a Manager role that has access to all organizations.
  • The file must not be more than 50 MB in size, and it must be encoded in UTF-8. For best results, follow the file saving instructions further below.
  • Make sure your data is formatted for our field types. When you're finished importing data, we suggest you compare the Global list views in IT Glue against the data in your spreadsheet to ensure that your data was imported correctly. Note: there is no bulk edit functionality. You would need to work through changes one at a time.
Important. We don't recommend that you create data from an import if you'd like to then have it populate from IT Glue to your PSA. Any items created or updated by this process will not be pushed to your PSA unless you go through and edit and save each and every item. This step is absolutely manual and is not recommended.

Instructions

Creating a test environment

It's a good idea to set up a test environment in your account and make a few tests before you import large amounts of data. To do this, create a test organization. You can do a test import into this organization before you commit to doing so in a "production" organization.

Creating your CSV file (core assets)

  1. Download a CSV template further below to import data to the following areas of IT Glue:
    • Configurations
    • Contacts
    • Domains
    • Organizations
    • Locations
    • Passwords
    • SSL certificates
  2. Navigate to the CSV file you just downloaded to your computer and open it.
  3. Enter your data.
  4. When you save the file, make sure you save it as a CSV file.
    1. If on a PC, save as "CSV (Comma delimited) (*.csv)".
    2. If on a Mac, save as "Windows Comma Separated (.csv)" in UTF-8 character encoding.
Having problems importing an Excel spreadsheet? Follow these steps to fix it:

  1. In Excel, save the file as "CSV (Comma Delimited) (*.csv)".
  2. Next, open the CSV file in Notepad.
  3. Click "Save As..." and then select UTF-8 under "Encoding".
  4. After selecting UTF-8, save the file in a slightly different file name from the original.

Creating a sample CSV file (flexible assets)

You will need to create a CSV file that matches the columns of the flexible asset design you want to import to. To do this, we recommend downloading a sample CSV file from IT Glue.

  1. Import or create your own flexible asset types.
  2. Customize the flexible assets so that they support the data entry and workflow processes that will be followed by your team.
  3. From one of your organizations, create one record for each flexible asset using placeholder data.
  4. Run a single organization export on this organization. This requires an Administrator user role.
  5. Open the flexible asset CSV files and delete the placeholder data.
  6. Enter your data and save the files as UTF-8 using the same instructions as in the section above.

Importing into a single organization

  1. Click Account from the top navigation bar.
  2. Click Import Data from the sidebar.
  3. On the next screen, click +New and then choose the relevant asset from the drop down.
  4. Select Single Organization and then select the organization you'd like to import data into.



  5. Click Choose File to select the saved CSV file.



  6. Decide if you'd like to allow partial imports.

    If "Allow partial imports" is set to "Yes", rows that meet these conditions will be imported:
    • No UTF-8 characters are present.
    • No required fields are missing.

    If it's set to "No" and there are non-UTF-8 characters or missing required fields, the whole import will fail.

  7. Click Continue.
  8. Next, a wizard will help you map the fields and show you the required fields for each data type. Map fields from the CSV file (left-hand column) to the IT Glue fields (right-hand column).
  9. Leave "organization" set to "Ignore".
  10. After that's done, click Run Import.
  11. Wait a few minutes for the import to complete.
  12. Once the import is done, you'll get an email from support@itglue.com that includes a link to view imported rows or details regarding your import.

You can verify your import was successful by waiting for the email confirmation or by navigating to Account > Import Data and then clicking on the link for your import. You can also navigate to the Global > Assets area to view the information that you imported.

Importing into multiple organizations

  1. Enter each organization's name in the "organization" column in your CSV. Make sure each name is spelled exactly the same as it is spelled in your IT Glue account.
  2. Click Account from the top navigation bar.
  3. Click Import Data from the sidebar.
  4. On the next screen, click +New and then choose the relevant asset from the drop down.
  5. Select Multiple Organizations.



  6. Click Choose File to select the saved CSV file.



  7. Decide if you'd like to allow partial imports.

    If "Allow partial imports" is set to "Yes", rows that meet these conditions will be imported:
    • No UTF-8 characters are present.
    • No required fields are missing.

    If it's set to "No" and there are non-UTF-8 characters or missing required fields, the whole import will fail.

  8. Click Continue.
